Business and Finance Shared Services (BFSS) is a specialized unit within the University of South Florida’s Office of Business and Finance. BFSS serves as a "trusted partner" to the university community, providing expert support in areas such as travel, purchasing, PCard, contracts, accounts receivable, and USF Foundation transactions.

The Systems Administrator I is an entry-level role responsible for the configuration, maintenance, and support of the Jira Service Management environment and related IT systems within the Business & Finance Shared Services department. This role focuses on optimizing system workflows, developing automated reporting tools, and creating data-driven dashboards to support departmental operations and stakeholders. This position provides a foundation for technical growth through collaboration with USF IT, learning, and knowledge sharing while contributing to the team's success.
Responsibilities
Systems Configuration, and Optimization: Assist with system configurations, perform basic optimization tasks to ensure system performance, and follow standard procedures and guidelines for setting up new systems and software as described by standards provided by USF IT. This includes optimizing and configuring the departmental Jira environment to improve service delivery. Configures system and reports on the system for stakeholders and users, specifically by developing and maintaining real-time dashboards and advanced reporting tools to track Shared Services metrics. Collaborates with USF IT teams to keep them informed of configuration changes and achieve outcomes, actively participating in USF IT sprint teams and Agile ceremonies to align technical work with business needs. Escalates configuration changes that would result in connecting multiple systems or creating new features or capabilities to USF IT's Intake process.
Software Maintenance and Updates: Assist with basic software installations and updates on systems, apply routine software patches and updates as part of the regular maintenance schedule, ensure updates are compatible with existing systems and resolve minor issues caused by updates.
Monitoring, Troubleshooting, and Automation: Monitor system health using basic tools, identifying potential issues early. Assist with troubleshooting routine system problems and escalate complex issues. Support basic automation tasks, such as scheduled maintenance or reporting, with a focus on automating Jira workflows to increase efficiency within the Shared Services team.
User Support, Training, and Documentation: Provide basic user support, responding to requests and resolving technical issues. Document user issues and resolutions for future reference. Assist in the creation of user guides and training materials, which are approved by USF IT as aligning to set standards and practices. Provides training and support to users of the system when needed, ensuring Shared Services staff are proficient in utilizing new reporting tools and Jira enhancements.
Knowledge Sharing and Skill Development: Learns from more experienced team members within their department and USF IT and seeks feedback to improve skills. Participates in technology learning, seeks and applies constructive feedback to enhance technical and problem-solving abilities. Shares knowledge and insights with peers to foster a collaborative and supportive learning environment.
Qualifications
Minimum Education & Experience:
High School Diploma or Equivalent and IT certification OR
High School Diploma or Equivalent and 1-year relevant work experience OR
Bachelor's degree in Computer Science, MIS or other field involving software and analytical training
Degree Equivalency Clause: Four years of direct experience for a bachelor’s degree.

- (c) Six years of direct experience for a master’s degree.
- (d) Seven years of direct experience for a professional degree; or
- (e) Nine years of direct experience for a doctoral degree
- Related work experience may not substitute for any required licensure, certification, or registration required for the position of employment as established by the public employer and indicated in the advertised description of the position of employment.
- Minimum Qualifications that require a high school diploma are exempt from SB 1310.
Preferred Experience
Ticketing system expertise (ideally Jira Service Management): Proficiency in managing and configuring service desks to meet departmental needs.
Reporting and dashboard development: Ability to interpret datasets and generate actionable insights through the creation of real-time visibility tools.
Business process mapping and workflow design: Experience in translating complex business needs into efficient technical solutions and structured process flows.
Automation within workflows: Ability to design and implement automated rules and logic (such as triggers, conditions, and validators) to streamline repetitive tasks, ensure data consistency across systems, and accelerate service delivery.
Communication & Collaboration
Ability to translate complex technical concepts into plain language for non-technical stakeholders and requesters of system configurations and reports. Ability to communicate dependencies and needs clearly with USF IT teams and collaborate effectively to resolve issues within the Shared Services context.
Analytical Thinking & Problem-Solving: Ability to identify appropriate analytics tools to meet evolving business needs and generate actionable insights from datasets. Proficiency in interpreting specific business requirements and translating them into sustainable technical solutions within the system.
Adaptability & Change Management: Awareness of how system configuration changes impact other aspects of the system and the broader business operations. Proactive engagement with requesters and stakeholders to provide training and prepare the team for technical or process changes.
Familiarity Scrum and Agile practices.
