Solution & Scope : To put ECU’s document management on the Softdocs tool. Implementing Softdocs on ECU’s student-centered offices (Records, Admissions, Bursars, Financial Aid, Employment Services, International, etc.)
Technical Scope & Design : Migrating required data on the dedicated new server for Softdocs and partitioning data w.r.t to offices. Building the paper-based students and staff forms in Softdocs. Forms customized & designed using HTML, modeled with javascript, assigned a workflow for routing to multiple parties/actors of the form for the authorization and integrated with the servers using SQL for loading accurate user data on the form
Decision Making : Prioritize & plan to implement Softdocs at various offices, form design, defining workflow, server integrations, scripting models, etc.
User Testing : Each form tested with 30 different random users each time for assessing sample users experiences and modifications done with feedbacks
Support & Training : Support the document management system for rolled out 70 forms across 4 offices. Explaining the project functioning via. test demonstrations to technical/non-technical people at different levels of ECU organization (President, VP, Provost, Deans, HOD, students, staff, etc.)
Outcomes (As per Jan 31st, 2020) :
Implemented the document management system for all the student offices at ECU. Rolled out 70 functional forms on Softdocs tool
The project to gradually reduce physical walk-ins across ECU’s implemented Softdocs offices by 85%, previously average 50 walk-ins a day per office
Form processing and authorizing time reduced by 80% and facilitating electronic records and documentations
5000 students and staff to be impacted with the ease of electronic forms and document management system
