People Operations & Recruiting Coordinator
6--12 Month Contract | Remote (EST or CST preferred)
We are seeking a highly organized
People Operations & Recruiting Coordinator to join a fast-growing biotech organization on a
6-12 month contract. This role is heavily execution-focused, with a primary emphasis on
high-volume interview scheduling and day-to-day recruiting coordination, along with support across core People Operations functions.
This is an excellent opportunity for someone who thrives in a fast-paced environment, enjoys owning logistics, and has strong attention to detail—particularly around calendar management and candidate experience.
Contract Details
- 6--12 month contract
- Starting at 20–30 hours per week, with potential to increase up to 40 hours/week based on recruiting volume (expected to reach 40 hours by March)
- Fully remote, with preference for candidates in EST or CST time zones
- Potential for extension/conversion based on performance and business needs
What You’ll Do
Recruiting Coordination & Interview Scheduling (Primary Focus)
- Coordinate and schedule high-volume 1:1 and panel interviews using Google Calendar and Zoom
- Partner closely with recruiters and hiring managers to gather availability and confirm logistics
- Build and manage accurate, multi-interviewer schedules and calendar holds
- Follow detailed scheduling instructions and ensure consistency across interview processes
- Create and distribute formal interview schedules including dates, times, interviewer names, and titles
- Send interview confirmations to candidates and internal interview teams
- Proactively manage last-minute changes and resolve scheduling conflicts
- Host interview kickoffs to ensure technical readiness and smooth handoffs
People Operations & Recruiting Support
- Assist with drafting and updating job descriptions
- Post and manage open roles in Workable
- Route offer letters for approval and distribution
- Support ad hoc HR projects, including filing performance reviews from CultureAmp and coordinating year-end employee communications
Benefits, Payroll & Reporting Support
- Track monthly benefits enrollment and deduction changes in Sequoia
- Reconcile monthly benefits invoices
- Generate and route benefits and payroll change reports (Navia, ADP)
What We’re Looking For
- Proven experience in interview coordination in a contract, agency, or high-growth environment
- Strong proficiency with Google Calendar and complex scheduling logistics
- Experience supporting recruiting either through a staffing agency or in-house TA team
- Excellent attention to detail, organization, and follow-through
- Strong written communication and stakeholder coordination skills
- Ability to handle confidential information with discretion and professionalism
- Comfortable moving quickly and adapting to changing priorities
